Operations Manager (12 month term with the possibility of extension)

Description: Reporting to the Director/Curator, the Operations Manager is responsible for the management and day-to-day administration of business facets of the Art Museum, including budgeting, accounting, purchasing, marketing, publicity, fundraising and public relation activities. The Operations Manager will direct and supervise the activities of the Gallery Greeters, Gift Shop Manager, volunteers, and personnel not directed by the Director/ Curator. This is a 12 month term with the possibility of extension.

Salary Range: $65,000 - $70,000 with yearly increments

 

The Operations Manager is responsible for the performance of the following:

  • To manage expenditures, cash flow, investments, bank account reconciliations, accounts payable and receivable, purchasing and payroll, including payroll deductions, T4s, employee group benefits program and pension contributions, and prepare monthly financial statements and other reports, as necessary, to be approved by the Director/ Curator and presented to the Board.

  • To prepare year-end financial statements for the Board and its auditor, the Registered Charity Information Return for Canada Customs and Revenue Agency, the Annual Return for Saskatchewan Corporations Branch, and other reports as required

  • To prepare detailed annual budgets for the Board of Directors, in collaboration with the Director/ Curator.

  • To prepare funding applications and proposals to municipal, provincial and federal agencies, foundations and corporations with the Director/ Curator, and to maintain contact with those agencies and organizations and file reports as required.

  • To manage and implement marketing, publicity and public relations activities.

  • To direct and supervise the activities of personnel not directed by the Director/ Curator, including Gallery Greeters, Gift Shop Manager, volunteers.

  • To follow established Museum policy and work with the Board and Director/ Curator in the development of short- and long-term plans.

  • To prepare financial reports, and provide information for the Director/ Curator and Board, as required.

  • To attend Committee meetings, as required, opening receptions and other similar functions.

  • To facilitate the smooth functioning of the activities of the Art Museum, in concert with the Director/ Curator.

  • To coordinate insurance for borrowed exhibitions, the art collection, the Gift Shop and liability insurance for the Board, as required.

  • To assist in managing development of capital projects, in collaboration with the Director/ Curator.

  • To coordinate fundraising activities with the staff and Board, including overseeing the coordination of the annual fundraiser, ParkArt.

  • To coordinate the maintenance of the facility with City of Moose Jaw Parks and Recreation in

    collaboration with the Director/ Curator.

  • To monitor proper and safe working conditions and building security.

  • Other duties as may be specified by the Director/ Curator.

Qualifications:

  • Degree in business or arts administration or accounting or equivalent experience, supplemented by two years related experience in management, gallery or museum operation, demonstrated knowledge of budgeting and accounting procedures, including payroll, and/or equivalent combination of education and experience.

  • Must have effective managerial, bookkeeping, administrative and public relations skills and demonstrated skills in organization and communication, both verbal and written. Must have experience in staff and facility management. Must have good working knowledge of office and accounting software.

  • Ability to establish and maintain harmonious working relationships with staff, funders, sponsors and the public.
