The Administrative Assistant is responsible to the Director/Curator of Moose Jaw Art Museum Incorporated for the performance of clerical and office administration duties, including communication with the public, assistance in the development of promotional materials, light bookkeeping, and art museum program support.
The Moose Jaw Museum & Art Gallery (MJM&AG) opened as a National Exhibition Centre in 1967, having a dual mandate of presenting visual art exhibitions in its gallery and, in an adjacent museum space, the history of this area, as well as collecting and preserving both art and historical artifacts in a permanent collection. Situated in the same facility as the Moose Jaw Public Library, MJM&AG is positioned as a resource for enhancing one’s visual literacy and as a community centre for acquiring knowledge and appreciation for contemporary art and local history through creative, critical and historic inquiry. Our role in our community is to make the visual arts and local culture accessible, relevant and inspiring, creating opportunities for participants through programming to engage in contemporary art and discover personal and collective narratives of place and identity. As a small-city art museum in southern Saskatchewan, we strive to build partnerships with sister institutions throughout our province and across the country to collaborate on programming and share resources, to not only support Saskatchewan artists in presenting their work in Moose Jaw and touring their work out-of-province but to expose our audiences to the work of Canadian artists from all corners of the country.
Starting salary at $43,666
36.25 hours/ week with every third Friday off in earned time
Work week is 8:15 am to 5:00 pm, Monday to Friday, with a one hour unpaid lunch break. Flexibility is required for receptions, events, and fundraisers. Occasional weekend and evening work is required.
Overtime as required. Banked hour system in place and overtime is taken as time-in-lieu.

Duties and Responsibilities:
The Administrative Assistant is responsible for the performance of the following:
To perform a variety of clerical work, including handling incoming and outgoing correspondence, compiling and preparing the annual report and various types of communiques, reports and grants, and to act as secretary to the MJM&AG Board meetings as required, maintaining the office filing system, receptionist duties in the mornings before Gallery Greeters are on duty, and other similar functions.
To perform various bookkeeping duties, including receiving payments, issuing receipts, preparing bank deposits, financial data entry, and other similar functions.
To compile and prepare the annual report, including writing text and possible design and layout, along with keeping and reporting various statistical information, including membership, attendance at galleries, tours and programs and other similar functions.
To prepare newsletter and update website along with a variety of design projects. Coordinate the release of MJM&AG event information to other organizations such as Arts in Motion, Saskatchewan Arts Board and Saskatchewan Museums Association.
To assist with exhibitions, design and mailing of invitations including mailing lists, advertising, press releases, coordination of opening receptions, and other similar functions.
To assist with programs, including coordination of Noon Hour Slides, and other similar functions.
To assist with all aspects of the organization of ParkArt and other fundraising activities.
To plan, organize and maintain in good order the office supplies and equipment, and all associated areas used for this work.
To perform other related duties as assigned.
To communicate with Moose Jaw Public Library staff regarding facility bookings in order to be knowledgeable about events taking place within this facility.
· Grade XII education and/or a Bachelor degree, ideally in Arts.
· Accurate word processing/typing skills.
· Ability to communicate effectively with the public and to answer inquiries with courtesy, tact and discretion.
· Strong writing skills.
· Familiarity with museum operation and programs in general and, specifically, familiarity with the role of the Moose Jaw Art Museum in the community.
· Working knowledge of computer software packages, including word processing, graphic design, spreadsheets and accounting software.
· Ability to understand and effectively apply general office and bookkeeping procedures.
· Previous office experience.
· An equivalent combination of education, training and experience.
